    The Rotary Club RYLA Representatives are the primary contacts with the District’s RYLA Committee and the students who are eligible to apply.  They are key Rotarians who will make RYLA successful.

    All information will be sent to the Club RYLA Representatives via email addresses on the “Club RYLA Representatives” list.

    The duties of the Club RYLA Representatives are:

    A Rotary Club may have multiple RYLA Representatives.  You can:

    • Divide the duties.
    • Include additional Representatives so they can stay informed thought the process.   Return

    Promoting RYLA to Students

    Ensure that fellow Rotarians are aware of RYLA and what it offers their children, grandchildren and children of friends.  Rotarians are a wonderful source for outstanding applicants.

    Current High School Sophomores and Juniors (classes of 2014 and 2013) will be eligible to apply beginning February 15, 2011.

    The District RYLA Committee welcomes the opportunity to visit your club for a program or a 5-10 minute spot about RYLA.  Contact the RYLA Registrar to request a visit

    Talk to school counselors and students.  Contact youth in school organizations such as student government, National Honor Society, Key Club and Interact.

    RYLA is great for any student with leadership potential.

    As you select students, it is important that they:

    • Show up physically and mentally
    • Be at the conference from Sunday afternoon through Friday noon – NO EXCEPTIONS.  Be sure to get that commitment from the students before they are selected.

    Ask the students to fill out an application. Direct students to the www.District5970rg/RYLA web site.

    Managing Student Registration

    Basic Information

    There are two parts to managing the student registration process.  One is reserving conference slots for your club and the second is interviewing and selecting students your club will sponsor for the conference.

    Wartburg College has been quite flexible in the number of slots available.  However, to give Wartburg and the RYLA Committee adequate time for planning, please provide a preliminary number of conferees your club will sponsor at soon as possible.

    This web site has been constructed with information as complete as possible so all clubs follow a similar registration process.  Please become familiar with this web site.  Look at the View / Download links to documents in the table above.  Print the documents if you wish.

    Request Slots and Make Payments

    If your club has not done so already, we would appreciate an initial estimate of how many students your club will sponsor by February 15, 2012.  Please finalize the number of spaces your club will sponsor for RYLA by March 15, 2011.  Cost is $400 per student sponsored.

    Please mail your payment by March 15.  Make checks from clubs payable to Rotary District 5970 and write “RYLA” in the memo section.  Send the payment to John Last at the address below.

    If you have members who wish to contribute to the RYLA Conference or your club plans to sponsor your students through donations, your club members may make tax deductible contributions by making checks payable to TRF-DAF (The Rotary Foundation – Donor Advised Funds) with “RYLA” in the memo section of the check.  Also send these checks to John Last at the address above.     Meet Deadlines – Very Important

    A calendar showing deadlines is available on the “RYLA Calendar” page of this web site and in the “Summary of Club RYLA Representative Responsibilities and Deadlines” document in the table above.  It is very important that the deadlines be met.  Return

    Act as Primary Contact for Students

    Once a student has been in contact with your club, maintain contact with the student during the application, interview and selection processes.   Ensure they know your interview process and answer any questions they may have as they arise.  Return

    Interview Students

    The applicants will be instructed to complete and  print an application.  They will be asked to gather the required signatures and contact a RYLA Representative in a local Rotary Club to schedule an interview.

    You are free to determine your own interview process.  For example, you can rely on a panel of club members to conduct the interviews or you can engage schools’ teachers / counselors to assist in this process.

    Finalize Your Selections

    First and foremost select the candidates you believe will benefit from RYLA.  If possible, select an even number of boys and girls.  Get a commitment from the student to stay for the entire conference!

    Clubs have until May 15 to interview, select students and send the printed application forms to the RYLA Registrar.  Please scan the student’s signed application and email it as an attachment to the RYLA Registrar.

    If the student fails to show for the conference, there will be no refund or credit to the sponsoring club.

    Contact students you have selected and invite them to a club meeting, introduce them and build up the importance of this program to the selected students and your fellow club members.

    The RYLA Registrar will email final instructions to your selected applicants during June or early July.   Please stay in touch with your students so you can confirm that they received it.  Be sure your students have transportation to and from RYLA.        Return

    After RYLA Conference Follow-up

    1. Invite your selected students back to your club to give a presentation on their experiences at RYLA a week or two after the conference has concluded.
    2. Your club president will receive declarations made by your selected students to affect change in your community.  Please assist your students in completing whatever commitment to your community they have made.
    3. Use your past RYLA students to help recruit for next year.  If your club is considering starting an Interact Club use these students to help get it going.
